Overview

Certi Sustainability (ABN 80 659 977 778) provides ESD and building compliance reports to clients across Victoria and Australia. This policy explains what personal information we collect through this website, why we collect it, how long we keep it, and how you can ask us to delete it. We handle personal information in accordance with the Australian Privacy Principles under the Privacy Act 1988 (Cth).

What the enquiry form collects

When you submit the enquiry form on this site, or contact us by email or phone, we collect only the information you choose to give us:

  • Your name — so we know who we are replying to.
  • Your email address — so we can send you a quote or response.
  • Your phone number — optional, and used only if a call is quicker than an email.
  • Your project details — anything you write in the message field, along with any plans, council correspondence, permit conditions or other documents you later send us.

The enquiry form is protected by Cloudflare Turnstile, a bot-detection service. To confirm you are a person rather than an automated script, Turnstile receives your IP address and basic browser signals. Cloudflare processes this solely for security purposes and does not use it to build an advertising profile. We do not receive or store the signals Turnstile collects.

We do not run advertising or analytics cookies on this site, and we do not ask for payment details through the website.

How we use your information

We use what you send us to respond to your enquiry, prepare a quote, produce the reports you engage us for, and lodge those reports with the relevant council or building surveyor where that is what you have asked us to do. We may also contact you about the progress of work already underway.

We do not send marketing emails to people who have only made an enquiry, and we do not add enquiry contacts to a mailing list.

We do not sell your data

Certi Sustainability does not sell, rent, trade or otherwise supply your personal information to third parties for their own marketing or commercial purposes. Ever.

The only parties who ever see your information are:

  • Our own consultants, who prepare your reports.
  • Councils, building surveyors or other authorities, where lodging your report on your behalf is the service you have asked us to perform.
  • Service providers that operate this website and our email — such as our hosting provider, Cloudflare (bot protection) and our email provider. They process data on our instructions only.
  • Anyone we are legally required to disclose to, for example under a court order or a valid request from a regulator.

Storage and retention

Enquiries are stored in our email system and, where a project proceeds, in our project files. We take reasonable steps to protect that information from misuse, loss and unauthorised access. Some of our service providers store data on servers outside Australia.

We keep enquiry records only as long as we have a reason to — typically while we are quoting or working on your project, and afterwards for as long as we are required to retain project records for professional, insurance and tax purposes. Enquiries that do not proceed are removed once they are no longer needed.

Accessing, correcting or deleting your information

You can ask us at any time to tell you what personal information we hold about you, to correct anything that is wrong, or to delete it.

To make a request, email info@certisustainability.com with the subject line “Privacy request”, and tell us what you would like us to do. We may need to confirm your identity before we act. We will respond within 30 days.

Where we can delete your information, we will. If we are required to keep certain records — for example a report already lodged with a council, or records we must retain by law — we will tell you what we are keeping and why.

Questions and complaints

If you have a question about this policy, or you think we have mishandled your information, contact us at info@certisustainability.com or on 0402 658 118 and we will work with you to resolve it. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

Changes to this policy

We may update this policy from time to time. The current version is always published on this page, with the date it was last updated shown at the top.
